Intelligent Office UK has cemented its reputation as the leading support services provider to UK law firms with news of a contract renewal by Gillespie Macandrew.

Gillespie Macandrew first outsourced its mailroom operations to Intelligent Office in 2005. Since then the relationship has evolved, with Intelligent Office now delivering front of house, file management, including client take-on and anti-money laundering administrative support, print and mailroom services on site at the firm’s Edinburgh and Perth offices.

To fulfil the increased range of services outsourced to Intelligent Office, the team has grown from three to 18 staff. The support services specialist also provides flexible and reliable off-site document production services to Gillespie Macandrew from its shared services centres in Alloa and Glasgow.

Ben Davis, Intelligent Office’s Regional Director in Scotland manages the Gillespie Macandrew relationship. He said: “I am particularly pleased to have secured this new contract as it builds on the excellent work of our team at Gillespie Macandrew over the years and confirms that we are providing an impressive service.”

Intelligent Office’s Chief Operating Officer Jonathan King said: “This is great news for Intelligent Office and shows the momentum we have in the market. Law firms are increasingly turning to external providers to improve their services and deliver value for money. With new client wins and contract renewals, we have established our reputation as the leading name for UK legal support services.

“The team at Gillespie Macandrew has done a fantastic job – delivering an excellent service and focusing on continuous improvement and innovation. With Intelligent Office taking care of things behind the scenes, Gillespie Macandrew’s lawyers can focus on providing a great service to their clients.”

Gillespie Macandrew’s Chief Executive Officer, Chris West, said: “I am very pleased that we have renewed our agreement with Intelligent Office. Intelligent Office provides us with consistent, reliable and, importantly, flexible support in our Edinburgh and Perth offices. We are working with them on a number of changes to improve our processes and flows to better provide client services.”

Gillespie Macandrew is a leading Scottish law firm delivering high-quality advice and added value for its corporate, private, charity and property clients. The firm, which has 18 partners, provides a full range of services to clients throughout Scotland, the UK and beyond.

This is the latest success for Intelligent Office, which won new contracts with asb law and Tcam Asset Management in the past three months. Sussex and Kent-based asb law appointed Intelligent Office to manage a diverse range of functions including PA support to partners and other lawyers, document production, matter administration, general administrative support and front of house services.

For Edinburgh-based Tcam Asset Management, Intelligent Office provides a full range of back office and support services – reception, switchboard, print, mail and records management services – at its new Edinburgh office. Intelligent Office also provides off-site document production and HR administration services from its shared services centre in Glasgow, as well as handling core goods procurement.

New client wins and contract renewals are just some of Intelligent Office highlights from the past 12 months. Others include forming a global joint venture with US consulting and outsourcing provider, nSource and being shortlisted for two prestigious awards – British Legal Awards and Legal Innovation Awards.

With more than 900 staff operating across 49 client sites and two onshore shared services centres, Intelligent Office is the leading provider of office administrative and secretarial services to the UK legal market. The company helps firms in the legal sector change for the better, improving the quality of support delivered to partners and fee earners and helping firms save time and money.

It achieves this by taking charge of administrative and secretarial services, leaving the firm's management free to concentrate on growth and partners free to develop and manage their practices. The result: flexible, modern and professional support services; improved service for clients; increased profitability for the firm; and better opportunities for support staff.

The majority of Intelligent Office's services are delivered on site at clients’ premises and include print, mailroom, facilities, matter management, front of house, secretarial and core goods procurement. Intelligent Office also provides document production support both on site at clients’ premises and via two onshore shared services centres in Scotland.
